THE PROBLEM
Document Approval is Inefficient, Creating Barriers for Active Users

The existing document approval process was slow and inefficient due to fragmented systems and workflows. This negatively impacted user experience, as evidenced by user feedback expressing frustration with long wait times for content approval. This inefficiency created a barrier for active users and hindered the platform's growth.
-
Business Problem: Slow document approvals created a bottleneck, limiting user acquisition and engagement, and hindering platform growth.
-
User Problem: Long approval wait times frustrated users and discouraged content uploads. Users reported feeling discouraged and unable to access content.
-
Design Problem: Design a scannable, confusion-free, and efficient admin dashboard to accelerate document approvals.
Feedback
I struggle to understand what constitutes the "previous balance" and question its accuracy. Discrepancies between the displayed balance and my records erode my trust in the system
Sarah M.
Finding past orders and billing information is like navigating a maze. The system isn't user-friendly.
Amanda T.
I want to see a running balance displayed after each transaction for better financial tracking, similar to a traditional accounting ledger. The current system lacks this, making it difficult for me to reconcile payments and charges.
Frankie B.
Clicking on invoice numbers doesn't show details. I have to hunt for explanations of the charges.
Jessica K.
"I spent an hour on the phone with customer service, and they gave me conflicting information. It's a terrible experience.
Melissa H.
"I see a balance due, but no explanation of why. How does this relate to my orders?
Ashley R.
I need to download invoices for reimbursements, but the system won't let me. This is incredibly frustrating.
Christopher B.
My invoices only show numbers, no descriptions. It's impossible to understand the charges without a breakdown.

Design Process
Document Approval is Inefficient, Creating Barriers for Active Users

Research & Collaboration:
Used Slack and Miro for team communication and collaboration. Conducted stakeholder meetings (PM, Admins, Ops) to gather requirements and understand existing workflows. Balanced competing stakeholder needs.
Key Findings

-
Three separate, unsynchronized monitoring systems (Google Sheets, database, simple web page).
-
Numerous inconsistent workflows.
-
Manual logging and inefficient tracking.
-
Limited data hindering admin review.
1. How can approval wait times for users be reduced?
2. How to improve admin navigation and document approval efficiency?
3. How can these improvements be leveraged to grow Gpace's user base and subscribers?

Impact
Improve the UX
The redesign led to a significant increase in the number of documents processed by admins, indicating improved efficiency. User satisfaction also increased, contributing to platform growth and user engagement. Specific quantitative data on the improvements in approval time, user engagement, and platform growth were not provided but are crucial for a stronger case study.

Future Steps
Further enhancements are planned

-
Enhanced statistics on the welcome page to provide a clearer overview of user engagement and growth.
-
More granular time period selection for data analysis.
-
Development of a mobile application and support for sharing various asset formats.
